Asian Film Awards Academy (AFAA) is formed in 2013 with three main Asian film festivals – Busan, Hong Kong and Tokyo. AFAA highlights, strengthens and develops Asian film industry and culture through the annual Asian Film Awards, and several year-round initiatives including strategies for building regional and international audiences. The 13th Asian Film Awards (AFA13) will be held on 17 March 2019 (Saturday).

As a student intern, you have opportunities to learn and obtain all-round knowledge in events management, hospitality, marketing and PR.
In the first phase, from now until end December, you will provide supports to all areas; and in the second phase, from Jan to March, you will be assigned to the position that we believe is best suitable for you.
- (1) Weekday afternoons (14:00-18:30)
- (2) 3-4 full day in the weekday (10:00-18:30)
Language: Fluent in Cantonese, Mandarin and English. Knowledge of other Asian language is a plus
Computer: MS Office (word, excel, ppt) and Chinese typing. Knowledge of design and/or video editing software are desirable

- To liaise with travel agencies and car companies in arranging air ticket, hotel accommodation and ground transportation for the guests
- To greet and escort the guests (from HK international Airport, Sheung Wan and Macao ferry terminals, event venue etc.)
- To prepare itinerary (with detailed flight and hotel information, media interview schedule, event time etc.) for each guest
- To create, compile and export databases containing all necessary information for guests
- To prepare guest kits
- To compile and update the guest guide
- To prepare and replenish drinking water bottles, stationaries etc at secretarial office, media interviews room, press junkets, winner halls and other venues during the event date
- To answer telephones and respond to inquiries from guests and/or entourages
- To inspect public areas prior to events and direct the custodial staff
- To document and follow up on important actions and decisions from meetings
- To provide administrative support as needed
- To assist in preparing reports on overseas guests’ attendance and activities
- To be on duty at the AFAA temporary office at Macau during the festival period
- o perform guest reception duty on event date
- To perform ad hoc duties as assigned
- To liaise and coordinate among production house, event venue, broadcaster, PR agency and various AFA internal teams and external parties to ensure smooth execution of the event
- To prepare necessary paperwork and file license applications with relevant governmental departments and event venue, and to ensure all required licenses and permits are granted before the event

To coordinate events operations including:
venue logistics coordination (cleanliness, F&B stocks, backdrop delivery schedule…)
rehearsals schedule
artists and performers handling and stage management
VIP and general guests’ routing
crowd control
security plans
- To liaise with relevant parties such as film companies, production houses, event venue, performers and caterers on event related matters
- To proofread MC scripts and prepare cue cards accordingly for the ceremony
- To compile and update the guest guide
- To apply censor cards for the promo videos and conduct on site test
- To prepare event reports
- To perform ad hoc duties as assigned
- To provide support in marketing, PR and event activities of AFA13
- To proofread all outgoing promotional materials to ensure the accuracy
- To write and upload posts (bilingual in Chinese and English) and photos to AFAA’s various social media platforms
- To coordinate with designers, printing and production houses on promotional materials
- To explore barter deals and prepare media and sponsor partnership agreements
- To ensure all agreed barter deliverables are executed in time

To liaise with PR agency and hospitality team on media management (inquiries, scheduling, interviews questions, news clippings etc.)
To draft MC scripts and prepare cue cards accordingly for the press conference
- To provide on-site support in all events
- To liaise with editors and production houses to produce various promo videos, gather necessary footages and videos for production
- To manage the librarianship of event photos and videos
- To provide administrative support and prepare reports as required
- To perform ad hoc duties as assigned
